Job Type: Full-Time, Monday – Friday, 40 hours per week

Salary Range: $26.44 – $29.81 per hour

Position Summary

The Operations Manager plays a critical role in making this work possible. This position oversees the WCCF’s day-to-day office operations, including office management, facilities, and technology systems, ensuring that the organization runs smoothly, efficiently, and with excellence. From managing vendors and supporting staff to maintaining a professional and welcoming environment for our community partners, the Operations Manager is a key driver of organizational effectiveness.

Key Responsibilities Office Management

  • Oversee front desk reception operations, including supervision of the Receptionist and management of coverage schedules; serve as backup as needed to support daily breaks, vacations, and other absences.
  • Manage incoming and outgoing mail, deliveries, and general office
  • Oversee office supply inventory, ordering, and vendor
  • Coordinate office space planning, furniture needs, and potential expansion or
  • Develop, document, and enforce standard operating procedures (SOPs) related to office operations, including opening/closing protocols, shared space usage, and cleanliness
  • Maintain organized shared drives, file systems, archives, and document retention
  • Coordinate logistics for weekly staff meetings, internal communications, and special staff events, serving as a key member of the internal and external events team.
  • Perform other duties and special projects as assigned to support cross-departmental workflows and advance the mission of the organization.

Facilities & Property Management

  • Oversee building access, security protocols, and opening/closing procedures, including managing temporary closures when necessary.
  • Serve as primary liaison with property managers, contractors, architects, interior designers, and other vendors.
  • Coordinate routine building maintenance and oversee special projects, including capital improvements (e.g., HVAC, renovations).
  • Solicit bids, support vendor selection, and manage contracts in alignment with organizational
  • Coordinate scheduling and use of shared spaces, including managing reservations for external partners and community groups using the Center for Philanthropy; oversee room setup and provide onsite support as needed.
  • Support events and meetings as needed, particularly with logistics, space coordination, and troubleshooting A/V.
  • Manage tenant relationships for on-site residential space, including communication, lease coordination, and issue resolution.
  • Ensure facilities are safe, functional, and aligned with WCCF’s professional

Technology & IT Coordination

  • Troubleshoot and coordinate maintenance of office technology, including computers, phones, copiers, and internet systems.
  • Serve as the primary liaison to external IT, internet, A/V, and phone
  • Support server administration, system upgrades, and overall IT infrastructure
  • Maintain shared server organization, data integrity, and database
  • Ensure continuity of operations through reliable and secure technology
  • Identify, implement, and support new technologies, including AI tools, to improve efficiency and effectiveness across the organization.
  • Assist with onboarding and offboarding of staff from a technology and systems

Education & Experience Requirements Education

  • Bachelor’s degree in business administration or related field
  • Equivalent combination of education and professional experience will be

Experience

  • 3–5 years in operations, office/facilities, or administrative management, ideally in a nonprofit
  • Proven ability to manage projects, vendors, contracts, and office/facility
  • Strong experience coordinating calendars, scheduling, and internal team
  • Supervisory experience and comfort supporting front desk/administrative
  • Familiarity with IT systems and willingness to leverage technology, including AI tools, to improve efficiency.

Knowledge, Skills & Capabilities

  • Strong organizational, project management, and problem-solving
  • Advanced proficiency in Microsoft Office Suite, especially Outlook (calendar management), Teams, Word, and Excel.
  • Ability to manage multiple priorities and work
  • Experience managing vendors, contracts, and facility-related
  • Strong interpersonal and customer-service skills for internal staff, tenants, and community
  • Strong written and verbal communication
  • High degree of discretion, professionalism, and ethical
  • Commitment to confidentiality in handling sensitive
  • Experience with or interest in leveraging technology and AI tools to improve
  • Enthusiasm for and commitment to the organization’s philanthropic

Working Conditions & Expectations

  • Occasional evening and weekend work may be required for special events and
  • Limited local travel within the seven-county service
  • Ability to sit or stand for extended periods and regularly use computer
  • Ability to lift and move items up to 25–50 pounds as needed to receive deliveries and handle office supplies or equipment.
